The Opportunity 

Since 1903, the Canadian Club of Ottawa has brought Canadians together to hear from the people shaping the country’s future. 

The Club has welcomed future kings, prime ministers, premiers, governors general, diplomats, business leaders, public servants and innovators to discuss the defining issues of their time. 

The Club is seeking an experienced videographer or video production professional to serve as its Official Videography Partner for the 2026–2027 season. 

This is an opportunity to do more than record events. It is an opportunity to help document a living chapter in the history of the Club and to capture, preserve and share important Canadian conversations as they happen. 

About the Events 

The Canadian Club of Ottawa presents keynote addresses, fireside conversations and panel discussions featuring leaders from business, government, diplomacy, academia, media and civil society. 

Most events are luncheons held from 11:30 a.m. to 1:30 p.m., with occasional late-afternoon events from 4:00 to 6:00 p.m. 

Events are held primarily at the Fairmont Château Laurier, with some hosted at the National Arts Centre, and typically attract between 100 and 250 guests. 

Scope of Work 

The selected partner will provide video coverage for approximately eight events between September 2026 and June 2027. 

The anticipated scope includes: 

  • Coordinating with the Club and venue audiovisual teams;
  • Recording the formal program;
  • Livestreaming through the Club’s designated platform, where technically feasible;
  • Preparing a polished, full-length recording for YouTube; and
  • Organizing and delivering final video files. 

Formal programs are generally 60 to 90 minutes and may include keynote addresses, fireside conversations, panel discussions and audience questions. 

The Club is seeking clear, professional video and audio through an efficient and reliable production approach. Proponents should recommend the most effective package of full-length, livestream, and social media content within the available budget. 

Budget 

The budget is up to $1,500 per event, excluding applicable taxes. Eight events are expected.  

Optional enhancements or additional services may be priced separately. 

Qualifications and Proposal Requirements 

Proponents should demonstrate experience recording live events and producing content for livestreaming, YouTube, and social media. 

They should also demonstrate reliability, sound judgment, professionalism around senior leaders and high-profile guests, and availability to work onsite in Ottawa. 

Proposals should include:

  • A brief professional profile;
  • Relevant experience and work samples;
  • The proposed production approach and deliverables;
  • Expected turnaround times;
  • A fixed price per event and season price;
  • Any assumptions, limitations or optional costs; and
  • Two relevant references. 

Proposals will be evaluated based on the quality of previous work, the practicality of the proposed approach, professionalism, reliability, value, and the potential to become a trusted long-term partner of the Club.
